Privacy Policy

Breed Ledger ("we," "our," or "us") operates the Breed Ledger platform at breedledger.co and on breeder subdomains (for example, yourprogram.breedledger.co). This Privacy Policy explains what personal information we collect, how we use it, who we share it with, and the choices you have. By using Breed Ledger you agree to this policy.

1. Information We Collect

Information you provide directly

• Account data: your first name, last name, email address, and password when you create an account.
• Program data: your breeder program name, subdomain, location (city and state), contact email, logo, and any content you add to your site (animal records, litters, photos, pedigrees, trait data, descriptions, and pages).
• Billing data: payment card information collected and stored by Stripe. We do not store full card numbers or CVV codes on our servers.
• Inquiry and waitlist data: your name, email address, and any message you submit through a contact form, waitlist signup, or breed club inquiry form.
• Support communications: emails or messages you send to us directly.

Information we collect automatically

• Usage data: pages visited, features used, clicks, session duration, and similar interaction events, collected via PostHog and Plausible Analytics.
• IP address (hashed): we derive a one-way SHA-256 hash of your IP address for rate limiting and spam prevention. We do not store raw IP addresses.
• Cookies and local storage: Supabase Auth stores a session token in a cookie to keep you signed in. Analytics tools may set cookies. You can control cookies through your browser settings.
• Log data: standard web server logs (request path, status code, timestamp) retained for up to 30 days for debugging and security monitoring.

2. How We Use Your Information

• To create and maintain your account and breeder program site.
• To process subscription payments and send billing receipts.
• To send transactional emails: email confirmation, password reset, inquiry notifications, and account alerts.
• To route public inquiries from site visitors to the correct breeder.
• To detect and prevent spam, abuse, and fraudulent signups using hashed IP addresses and honeypot fields.
• To measure product usage and improve the platform using aggregated, de-identified analytics.
• To respond to your support requests and communications.
• To comply with applicable laws and enforce our Terms of Service.

We do not sell your personal information. We do not use your data to train AI or machine learning models. We do not send marketing emails without your consent.

3. How We Share Your Information

We share your information only with the service providers required to operate the platform. Each provider processes data only as instructed by us.

We may also disclose your information if required by law, court order, or governmental authority, or to protect the rights, property, or safety of Breed Ledger, our users, or the public.

4. Public Breeder Sites

When you publish your breeder program on Breed Ledger, content you mark as public (your program name, animal listings, photos, litter announcements, and contact email) is visible to anyone on the internet. You control what is published through your Admin panel. Removing content from your public site does not automatically remove it from search engine caches; contact the relevant search engine to request cache removal.

5. Data Retention

• Active accounts: your data is retained for as long as your account is active.
• Deleted accounts: upon account deletion we remove your personal profile and program data within 30 days, except where retention is required by law or legitimate business need (for example, billing records required for tax purposes are retained for 7 years).
• Inquiries: contact form submissions are retained for 12 months, then deleted.
• Server logs: retained for up to 30 days.

6. Your Rights and Choices

Depending on your location, you may have the following rights regarding your personal information:

• Access: request a copy of the personal information we hold about you.
• Correction: update or correct inaccurate information directly in your Admin panel, or by contacting us.
• Deletion: request deletion of your account and personal data. Some data may be retained as described in Section 5.
• Portability: request an export of your breeder program data in a machine-readable format.
• Opt-out of analytics:Plausible Analytics is cookie-free and does not track individuals. PostHog analytics can be opted out of by enabling "Do Not Track" in your browser.

7. Children's Privacy

Breed Ledger is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us and we will delete it promptly.

8. Security

We use industry-standard measures to protect your data: TLS encryption in transit, encrypted storage at rest via Supabase, row-level security policies to isolate tenant data, and hashed passwords via Supabase Auth (bcrypt). No method of transmission or storage is 100% secure. If you discover a security vulnerability, please report it to dmumphrey@builtbydusty.com.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes, we will send an email notification to registered users at least 14 days before the changes take effect. Continued use of Breed Ledger after the effective date constitutes acceptance of the updated policy.

10. Governing Law

This Privacy Policy is governed by the laws of the State of Texas, United States, without regard to its conflict-of-law provisions.
